By confirming a journey with RoamingXplorer, guests agree to our Booking Terms & Journey Conditions. These terms are designed to ensure that each journey is thoughtfully arranged, clearly understood, and delivered with care.
Our Pricing Philosophy
RoamingXplorer is committed to fair and thoughtful pricing. Each journey is priced to reflect the quality of service, planning, local expertise, personal care, and meaningful experiences included in the itinerary.
We do not believe in overcharging for the sake of luxury. We aim to offer genuine value to our guests while ensuring that travel to lesser-known areas of Thailand also benefits local guides, drivers, artisans, restaurants, farms, families, and communities.
Booking Confirmation & Payment
A 50% deposit is required to confirm your reservation.
Your journey is confirmed once the deposit has been received and the main arrangements have been secured.
The remaining balance is payable 15 days before arrival. If the remaining balance is not received by the due date, RoamingXplorer reserves the right to release arrangements or treat the booking as canceled.
All prices are quoted in Thai Baht. Bank charges, transfer fees, card processing fees, or currency conversion fees are the responsibility of the guest and are non-refundable.
What Is Included
Each journey includes only the services, experiences, meals, transportation, accommodation, guide services, activities, and arrangements specifically listed in the confirmed itinerary or quotation.
Unless clearly stated, prices do not include international or domestic flights, visas, personal expenses, optional activities, additional drinks, minibar charges, laundry, gratuities, or other items of a personal nature.
Guest Information & Travel Documents
To help us prepare your journey with care, guests may be asked to provide relevant information before arrival, including full names, contact details, dietary requirements, allergies, mobility concerns, preferred guide language, flight details, and any special requests.
Guests are responsible for ensuring they have valid passports, visas, entry permits, travel documents, and any other requirements for travel to and within Thailand.
Changes & Personalization
Each journey has been designed as a complete RoamingXplorer experience.
Where possible, we are happy to assist with thoughtful adjustments after confirmation, including additional nights, upgraded accommodation, changes to pace, guide language preferences, or combining this journey with another RoamingXplorer experience.
Any changes are subject to availability and may affect the final journey price. Additional costs may apply if changes require new arrangements, supplier adjustments, or replacement services.
Itinerary Adjustments
RoamingXplorer journeys may include local communities, temples, markets, farms, workshops, seasonal dining, nature experiences, and privately arranged activities. From time to time, adjustments may be necessary due to weather, road conditions, local closures, ceremonies, supplier availability, safety considerations, or other circumstances beyond our control.
If changes are required, RoamingXplorer will make every effort to preserve the spirit, quality, and overall experience of the journey.
Flexibility & Cancellation
We understand that travel plans may change. All cancellation requests must be made in writing by email. The cancellation date will be based on the date RoamingXplorer receives the written request.

Non-recoverable costs may include accommodation deposits, guide fees, transport arrangements, dining reservations, workshop fees, entrance fees, special experiences, payment processing fees, and other costs already committed on behalf of the guest.
Refunds, where applicable, will be processed after hotels, suppliers, partners, or service providers have confirmed any recoverable amounts.
No-Shows, Late Arrivals & Unused Services
Once the journey has begun, any unused portion of the itinerary will be considered fulfilled.
No-shows, late arrivals, missed activities, or services not used due to guest delay, personal choice, illness, flight disruption, or changes in personal plans are non-refundable.
Health, Mobility & Personal Responsibility
Some RoamingXplorer journeys may include walking, markets, temples, countryside visits, boat trips, farms, stairs, uneven ground, warm weather, or other outdoor experiences.
Guests are responsible for informing RoamingXplorer in advance of any allergies, dietary restrictions, medical conditions, mobility limitations, or personal needs that may affect the journey. We will do our best to assist where possible, but some experiences may be subject to local conditions and practical limitations.
Guests are also responsible for their personal belongings throughout the journey.
Events Beyond Our Control
RoamingXplorer is not responsible for any changes, delays, cancellations, additional costs, or losses resulting from circumstances beyond our reasonable control. These may include extreme weather, natural disasters, illness outbreaks, government restrictions, road closures, flight disruptions, political events, accidents, supplier closures, or other unexpected events.
In such cases, RoamingXplorer will assist where reasonably possible and will make every effort to adjust the journey with care.
Travel Insurance
We strongly recommend that all guests purchase comprehensive travel insurance that covers trip cancellation, medical needs, travel delays, personal belongings, flight disruption, and unexpected changes before and during the journey.
Photography & Privacy
RoamingXplorer may take photographs during selected journeys for guest memories or internal records. Guest photos will not be used for marketing, social media, website content, or promotional materials without permission.
Personal information shared with RoamingXplorer will be used only to arrange, manage, and deliver the confirmed journey.
Guest Feedback During the Journey
If something does not feel right during the journey, we kindly ask guests to inform RoamingXplorer as soon as possible. This allows us the opportunity to assist, adjust, or resolve the matter during the journey whenever possible.
Governing Law
The laws of Thailand govern these Booking Terms & Journey Conditions.

These terms help us protect the quality of your experience while respecting the time, work, and commitment of everyone involved in creating your journey.
